Employers with the applicant's permission can conduct instant online checks on DBS Certificates linked to their Update Service account. This speeds up the verification process and ensures that employers have access to the most recent information.


Subscription Fees and Eligibility

A £13 yearly subscription fee is charged for those who acquired their DBS check for a paid role. However, if you obtained your DBS check through a voluntary application or certificate, you are eligible for the Update Service at no cost.


Validity of DBS Online Update Service

Registration for the DBS online update service is valid for a convenient period of one year. Before your subscription expires, DBS will contact you via email to confirm your interest in renewing the service. Alternatively, you can select "auto-renew" when you first register to avoid lapse in coverage.


Registration Process

Tere are the three ways you can register:

Registration using Application Reference Number

If you are currently applying for a Standard or Enhanced DBS check, you can register for the Update Service by entering your application reference number (typically labelled "form ref" on the application form). However, you must submit your full application form to the DBS within 28 days of registering for the Update Service. The DBS tracking service allows you to track the status of your DBS certificate.

Registration using Your Existing DBS Certificate

If you already have a Standard or Enhanced DBS certificate, simply enter your certificate number during registration; however, you must register for the DBS online update service within 30 days of the "date of issue" indicated on your certificate.


Registration using E-Reference Number

If you applied for your DBS check through an e-bulk registered dody, such as Complygate, you can register for the Update Service using your e-reference number. This number will be issued by your e-bulk provider as part of the application procedure.


How to check a DBS online?

There are two major methods for checking the status of a DBS application:

  • For Applicants: If you are the individual undergoing a Standard or Enhanced DBS check, you can use the DBS tracking service to track the progress. This service requires your application reference number (typically labelled "form ref" on the application form) as well as your date of birth for verification.

  • For Registered Employers: Employers that have registered with the DBS can use an online system to track the status of numerous applications simultaneously. This method also lets them obtain blank DBS application forms online.

After you've enrolled for the DBS Update Service, you can sign in to your account for:

  • Certificate Management: Add and remove certificates as needed to keep your DBS profile up to date.

  • Granting Employer Access: Control who can "check a DBS online" for your certificate. You can authorise employers to check your certificate online. This simplifies the vetting procedure for them.

  • Audit Trail: View a list of organisations who checked your certificate status with your permission. It promotes transparency and allows you to track who has viewed your data.

Portability with Limitations

  • Workforce Change: If the new role falls into a different workforce category (e.g., "adult" vs. "child"), you will require a new certificate for that workforce.

  • Level Change: If the new role requires a different level of check (e.g., standard vs. enhanced), a new DBS check will be needed.
